Sending a Virtual Fax via Web Browser

You can now send and receive faxes with your scanner and web browser from your desk.  All you need to do is scan your document, save it to the computer and then upload it through our website with the appropriate login credentials for your location.


Here is a detailed breakdown of the process:

Subscribers to our Virtual Fax service have the ability to login to their account and electronically send faxes by uploading documents (TXT, PDF, JPG, GIF, HTML, PNG, TIFF, DOC and XLS file formats) and optionally creating a cover page. The steps below outline this process.

 

  1. Log into your Customer Account.
    Note:  You will probably want to bookmark the login page for easy access.


    Note:  If you do not roam from location to location, you should check the ‘Remember me’ box and tell your browser to save the credentials. This will make future  sign in attempts more seamless.

  2. Click the ‘Telephone Service’ icon.


  3. Then select the ‘Manage’ tab at the top of the page.


  4. In the menu bar that appears, select Send a Fax from the Communication drop-down menu.


  5. Make sure the correct country code is selected and fill in the recipient's 10-digit fax number.


  6. Optional: You can check the box to enable the cover page option and fill out the cover page details.


  7. Click the Choose File button to select the document you'd like to fax. In the file browser, find and select the file you have scanned or downloaded for faxing.


  8. Click the Preview button to continue. On the next page, you are given the option to preview the fax or to send the fax without previewing it first.


  9. On the final screen, the system will inform you that the fax is being processed and that the fax delivery result (along with the original document attached) will be emailed to the same email address which is used for receiving inbound faxes.

 

Tips for Better Faxing

Here are some common issues with fax technology.

  1. Fax may come out blurry or illegible on the recipient’s end.
    1. Is the source document 100% black & white or was scanned in grayscale or color?
      1. If grayscale or color, then this is most likely the source of the problem.
      2. We recommended you redo the scanned document with the black & white setting.
        Note:  Lighter colored fonts (example light blue) are converted into streaks of blacks with spaces and will likely either not be recognized or be very fuzzy.
      3. If the document was downloaded and is only available digitally in PDF, then export the file into a new PDF file but with option black&white.  This should be more readable.
    2. Scanned document may be blurry on your end.
      1. If you open a scanned, black & white document on your end and it is blurry, your scanner may have low ‘dpi’ settings.  It's recommend trying a ‘dpi setting’ of at least 300 dpi.  If it is still blurry, try the next largest setting.
      2. If ‘dpi settings’ are not the issue, it could be the scan engine. You can contact Tech Advantage for scan quality troubleshooting.

  2. Recipient did not receive fax.
    1. You got a fax receipt stating it failed:
      1. Try to send the fax again.  Even though it is through the website, it is still fax technology and can fail for a variety of reasons.
      2. Contact Tech Advantage to help troubleshoot the issue.
    2. You got a fax receipt stating it was successful:
      1. Double-check the number you faxed it to and make sure it went to the correct recipient.
      2. You may be able to get more information from the fax history.  Contact Tech Advantage if you need help looking into this.

  3. I did not receive a fax I was expecting.
    1. The sender may have sent the fax to the incorrect fax number.
      1. You can check with the sender to verify they sent it to the correct fax number.
      2. You can check the fax email boxes for other offices in your organization to make sure it didn’t go to them.
    2. Someone may have already deleted the fax from the shared email box.
      1. Most clients utilize a shared email mailbox for incoming faxes, meaning that they are managed by everyone.  If one person deletes a fax email from their Outlook, it will delete it for everybody.  Only delete fax emails for things that you were expecting or sending.
